[00:00:00] Wade Carpenter: Welcome to the Contractor Success Forum. Today we are diving into a topic a lot of people have been talking about lately, and that is artificial intelligence or AI. Tools like ChatGPT, and other tools to make us more productive and profitable. And we’re gonna give you some ways construction contractors can start using these today.

And who’s here with us today? As usual, Stephen Brown with McDaniel Whitley Bonding and Insurance. And I’m Wade Carpenter with Carpenter and Company CPAs.

And today we are privileged to have back with us Morrelle McCreary of Ramtech PC Solutions as a guest host, and he actually was one of our earlier guests, I guess episode 22. And it’s hard to believe we’ve done over 90 episodes since then. But–

[00:01:04] Stephen Brown: Yet, we’re so young.

[00:01:05] Wade Carpenter: We talked about cyber security and we’re glad to have you with us. So Morrelle, can you tell us a little bit about what’s–

[00:01:12] Morrelle McCreary: Yeah, sure. Thanks for having me all guys. My name’s McCrae. I’m, my company is Ramtech PC Solutions. We focus on support, cybersecurity, and compliance, all for your IT needs. So that’s what we bring to the table and I’m excited about today’s topic where we get to talk about a little bit of AI and dive into that. So thanks for having me.

[00:01:32] Stephen Brown: Yeah, well, you’re a computer geek, and that’s, anything a computer does is something you study, right?

[00:01:38] Morrelle McCreary: Right.

[00:01:39] Stephen Brown: You’re obsessed with it. Well, that, that’s my point with AI is it’s hard for me to be obsessed with it. And Morrelle, when I tell you really that my first computer when I, if I told you about it, you would say, this guy’s gotta be in his eighties. But that’s the way we think. And AI is moving faster than anybody wants to recognize, and you can be scared of it or you can really embrace what it can do for you. And it is amazing how people are already using AI in the construction industry. And–

[00:02:10] Morrelle McCreary: Just a little stat because I’m a little stat junkie. AI came out last quarter of 2022 and they, I saw in the news, I wanna say two weeks ago where they have surpassed Netflix’s revenue. So that was mind blowing to me that they’ve been out two quarters and surpassed the revenue that Netflix has. So.

[00:02:34] Stephen Brown: So that just, that tells you where everything’s going. I have, I, I subscribe to open AI. I think it’s 22 bucks a month.

[00:02:42] Morrelle McCreary: Right.

[00:02:43] Stephen Brown: And I’ve had a absolutely fascinating time asking it questions. And I really didn’t see or understand how to really use it in my business. But I’m starting to figure it out a little bit.

[00:02:57] Morrelle McCreary: So it can be a game changer.

[00:02:59] Wade Carpenter: Well, that, I think that’s the point of today. I think we’re just gonna each throw out some ways, there’s definitely ways I see contractors can use these things. So Morrelle, since you’re, continue, you wanna go ahead and throw out your first use case?

[00:03:12] Morrelle McCreary: Yeah, so I’ll just preface and say that AI can be a game changer for anyone’s business, anyone’s industry. Today we’re looking at construction specifically. I too am a member of the AI subscription community. And ways that I found in my research on how to be successful in the construction industry in using AI is using it to help you with your project planning.

Use AI for Project Planning

[00:03:37] Morrelle McCreary: Looking at project planning, and I can’t build a, a house, right? But I can build you a, a computer network and, and server room and, and all that. But building a house, I would imagine there’s so much more that goes into it. And building a building and bridges and everything we see that is constructed.

There’s so much more that goes into project planning and making sure you have the right materials and staying up to date on the codes and, it is so many different puzzle pieces that, that I respect of the industry for sure. So, one of the things that, you think about how can AI help me project plan? Guidance on best practices, regulatory for, based on the, where you are. Some of the suitable approaches that you have take to, to build where you want to build. You could find that information out with AI as well.

[00:04:27] Wade Carpenter: I think that’s great. I actually was gonna throw out a similar use case because I don’t know, I’m a carpenter and I don’t know anything about building either. I know how to build a great set of construction financials, but, and job costing system. But, I, I did this as a test and I, I threw it in ChatGPT and said, I’m remodeling my unfinished basement and I wanna build out a bedroom and a a bathroom and a game room down there.

And I want this done in eight weeks by July 4th or something like that. What do I need to do? Tell me, and I know nothing about this, but it It sat there and spat out week by week what you gotta accomplish.

And I, I started thinking, well, project planners didn’t know what they’re doing and they put the in inputs in here. It’s amazing how it took me longer to type out the script than it did for it to spit this schedule out. It was amazing.

[00:05:20] Morrelle McCreary: Right.

[00:05:20] Stephen Brown: And it made sense to you too, didn’t it, Wade? You’re like, whoa. And as a professional, if you were building, if you were a professional builder, you would really scrutinize what AI said.

[00:05:31] Wade Carpenter: Yep.

[00:05:32] Morrelle McCreary: Definitely.

[00:05:33] Wade Carpenter: Stephen, you got a use case there?

Use AI for reading contracts

[00:05:35] Stephen Brown: Oh sure. Well, I can just give you an example. Reading contracts.

[00:05:41] Wade Carpenter: Yeah.

[00:05:42] Stephen Brown: AI will read a contract and you can have it look for hold harmless agreements. You can have it look for the, from my perspective, the insurance requirements on a job spec. But you can also have it literally look for the warning items that you need to be aware of most. It’s just a great checks and balances and I can tell you one of my surety companies is already using it to read and scan contracts, and Morrelle, my construction contracts that I get every day that, that I have to read are, a lot of times, over a thousand pages.

[00:06:15] Morrelle McCreary: Wow.

[00:06:16] Stephen Brown: And it boggles my mind how a contractor can sort through that and confidently turn in a bid when you’re agreeing to so much.

But when you do it every day, you know what the fluff is and what’s important.

[00:06:29] Morrelle McCreary: Right.

[00:06:30] Wade Carpenter: I think back to when we had Alex Barthet, our good friend. He was on our podcast a time or two, and he actually was using AI before any of this got popular. He actually had a thing where you could throw your contract in there. And, he, he works on lien law stuff, but you know, he’d throw it in there and it would spit out the terms that had to do with your cash flow.

And I think Stephen, didn’t you try that with his AI many months ago beforehand all this?

[00:06:57] Stephen Brown: Yeah, I did. And I, I liked some of it and didn’t like some of it. And I shared that with Alex and we, we talked about it. Because that’s the thing Morel is, is when you’re doing this. Yeah. It depends on your perspective too. Right?

[00:07:12] Morrelle McCreary: Definitely. I’ve learned in using it the more content you feed it the richer the result. And I always advise people when they ask me, how can I use AI for my business? Again, across any industry that you go into or look at, if you feed it rich content versus how do I do this? Or you go with a different approach that says, how do I build out a floor plan with X square feet and three bedrooms? Right? Or how do I build out a floor plan for this 8,000 square foot office space and I need 13 offices in a conference room and two bathrooms out of it?

So depending on how much data you put into it will determine the, the richness of the result you get out of it.

[00:08:00] Wade Carpenter: Yeah, I think we probably also should talk about, if we’re talking about ChatGPT, and there are other engines out there, but all of them are gonna have a limit to how much you can feed it at a time.

But there are some things out there where you can put a pdf, there’s PDF GPT and some other ones where you can upload information in chunks and some that’ll do it automatically for you.

And there are people that are analyzing financial statements with it. I’ve got a use case where we’re putting our procedures to say like, how do we work with a construction contractor on QuickBooks Desktop? They can go in there and type in there and get an answer like, how do you do this? And it’s amazing how we built that ourselves.

[00:08:44] Morrelle McCreary: Mm-hmm. Yeah, definitely a lot of different use cases around AI. Some of the other ones that I, I looked into were, building codes and regulations. Trying to keep up with that based on where you’re building, I would imagine codes change from state to state, and you have to stay abreast of what state regulations are and what federal regulations are when it comes to building.

Use AI as a framework and verify your answers

[00:09:08] Morrelle McCreary: It’s so much that you just wonder, where does this data come from? How do we know it’s true? I always tell people too, look, it’s so new. I would just use it as a framework. And check and verify what you’re finding. Always seek out a professional.

I tell people, don’t fully rely on AI because it can be wrong. And it is been proven to be wrong. I asked it to write a bio of me just putting in my first and last name, and there was a lot of points that got correct, but there was a lot of points that were just added fluff that weren’t accurate. So I always tell people, check and verify what you’re asking it.

[00:09:45] Wade Carpenter: Well, did they point out the fact that you’re Batman for technology or that–

[00:09:49] Morrelle McCreary: That did not come up, but they said, I played football at a prestigious college, and I was like, nah, I was too small.

[00:09:55] Stephen Brown: Well, you can, you can copy and paste and keep some of that stuff.

[00:09:59] Morrelle McCreary: Right, right. Again, framework. Right. You just use it as a starting point.

[00:10:03] Wade Carpenter: Yep.

[00:10:04] Stephen Brown: so if that’s the case guys, what about doing a project takeoff? Everybody says, well, AI’s gonna help you do a quicker takeoff. To see whether you wanna bid the job. You’re gonna spend less time physically performing your, your takeoff to bid a job.

[00:10:21] Morrelle McCreary: Okay.

[00:10:22] Stephen Brown: Then again, you don’t trust it. So, most bids I look at are unit price. The architect engineer has a, a less morale of, of, of every item in unit price in there.

[00:10:33] Morrelle McCreary: Mm-hmm. There’s still that human part, right? I was talking with an SEO developer yesterday and I just asked the question, you know, how has AI affected what you do as far as content generation? And her response was very genuine. It was, I, I lost some customers over it, but it doesn’t replace a human’s approach.

AI doesn’t have a human element or a human emotion, right? So when you start looking at, I always tell people, look at AI, don’t put your feelings in AI. Use AI for factual things, right? Measurements, cost estimation. Use it for. Factual things that can be checked and verified.

[00:11:20] Stephen Brown: Okay.

[00:11:21] Morrelle McCreary: Can’t use it for, I’m feeling this way. It’s not a WebMD, right? You still need a doctor for that. You can’t just, you can’t feed it personal stuff and expect a personal response.

[00:11:32] Wade Carpenter: Right.

[00:11:33] Stephen Brown: Yeah, I had it write a Mother’s Day poem to my mother.

[00:11:37] Morrelle McCreary: How’d it do it? I’m curious.

[00:11:38] Stephen Brown: I said, make it funny. And I said, it’s not funny, you know, it was, it immediately wrote it. It’s not funny. Make it funnier. And it was trying so hard and it, it, it, it was so stupid. I started laughing and out of this huge, long poem, it was like pages.

I said, stop. It was like three pages of poem to mom. But like I, I know my mom, that’s not gonna make her laugh. It didn’t make me laugh so why would it make her laugh?

But at the same time, I was talking to a friend of mine who was saying, you gotta be more specific. You gotta tell ai, make it funny in the form of Jim Gaffigan or, or somebody. Make it have their, and, and I was thinking to myself, just like you were saying, the personal element of AI, Morrelle, was just, totally missing in a poem to your mother.

[00:12:34] Morrelle McCreary: Right, right. So you think about that in the construction seat, right? I would imagine there’s some type of checklist that construction follows when they’re doing any type of build. I would see using AI for that. I would also see using AI to pull in drone data. Look at some of the landscaping and the clearing and the elevations and, that would be some of the tools and the way I would use AI to accomplish that goal.

[00:13:06] Wade Carpenter: Yeah. Hey, you kinda led into one of my use cases is, I’ve always preached the E-myth Revisited, systematizing your business, and if you are starting with nothing, just tell it to write me a procedure on how to do a change order. And you may want to tweak that, but it’ll get you started and half the battle of trying to document your company is getting started and getting something on paper. And you can always change it later, but, suggesting these workflows, suggesting some forms, you’d be surprised it’ll just spit it out.

[00:13:41] Morrelle McCreary: Definitely, definitely. I use it for form generation a lot. Even down to, every construction firm that I’ve ever walked into has people in it. So that’s HR right there. You kind of need it to write some HR forms, some employment forms, some just standardized documents that would be tailored to your industry.

Again, check and verify. Make sure it fits the legal parameters of your state and also make sure it fits your climate and culture in your office.

[00:14:09] Wade Carpenter: Right. Well, I think there’s a lot of things you could probably do with the workflow and, and suggesting procedures with it so.

[00:14:17] Morrelle McCreary: Definitely, definitely.

[00:14:19] Wade Carpenter: You got any others?

[00:14:20] Stephen Brown: I’m back at the personal side of it again, guys. I love it because you really helped me focused, both of you, on the important every day items that AI can crank out for you, and forms. And I really wanted to log out of the podcast and go play with my AI engine when you, you said that because I thought of like five forms that I always have a hard time looking for.

AI and customer relationship management

[00:14:43] Stephen Brown: But I was thinking more along the lines of customer relationship management. That may sound crazy, and I may be just getting off track right now, but what I was thinking about is, yeah, how to assist in your interactions with the customers and project updates. And increasing, their satisfaction.

[00:15:02] Morrelle McCreary: I can definitely help you with this one, Stephen. And I’m gonna give away a little bit of my secret sauce here. I’ve always been a big proponent of customer service and I feel like if you treat people like people, then they will continue to share you out and reuse you for whatever goods or services you’re selling.

One of the things that I would always, I wouldn’t say always, often fail at doing is follow up. So I jumped on the AI engine and I asked it, write me 10 different follow up scenarios, whether it’s follow up to a phone call for a new customer, follow up to an open introduction to a referral to a new customer.

I mean, It gave me 10 different follow up techniques and I didn’t copy paste and just run with it. I copy paste it and I added Morrelle’s tone to it, right? So I add my own tone to it, and now it feels more genuine. Like I spent the 10 minutes typing this email to this person that I met at a networking event or at a conference just to touch them and say, hey, thanks for meeting with me, or thanks for sharing your knowledge with me, or, just, just that extra high touch goes so much further on the back end of things.

[00:16:17] Stephen Brown: And it’s beautifully written, isn’t it, Morrelle?

[00:16:20] Morrelle McCreary: Oh yeah. It’s so, it is easy. It’s so–

[00:16:22] Stephen Brown: it’s amazing.

Using AI to respond to emails

[00:16:23] Morrelle McCreary: It’s so easy. Another secret too that I’ll fill you guys in on, I had a customer email me and they were asking some questions and I was very limited on time that day, I’ll just be honest. And I took their email and I copied it and pasted into the AI engine that I use and I told it to respond. I said, respond to this email, telling them no nicely. And I pasted the email under it and hit submit and it spit out such a nice response that was very, very elegant and I didn’t have to change much of anything, but add punctuation and hit send.

[00:17:01] Stephen Brown: Wow. Wow.

[00:17:02] Wade Carpenter: Yep. Yeah, that’s one use case I was gonna throw out there is just responding to email can be so overwhelming. And maybe even you talked about having those email chains or whatever in your marketing. I know people are having ChatGPT write their entire website. It’s crazy what’s out there.

[00:17:21] Morrelle McCreary: Yeah. I would warn people though, if they’re using any AI to build out content for their website, just know that Google’s onto that and they’re gonna start ranking you less because you don’t have genuine content. So.

[00:17:35] Wade Carpenter: Yeah, well there are actually AI checkers out there supposedly, and I don’t know how good they are, but.

[00:17:42] Morrelle McCreary: Yes, there are. Again, I use AI as a framework. There’s a couple pages on my website that we used AI to generate, and again, I just put my tone on it and make it more personable to the end user.

Here’s another trick slash tip that I found to with AI if, and it only works– so, I, I, I keep generalizing ai, I use ChatGPT in-house. And I don’t know if the other chat engines or AI engines support this.

I still use the 3.5 version. I know they came out with version four and it’s very personable in version four. But in 3.5, I know that you can type in something, hit period, and then type in high school level and it will break that content down on such a more digestible level for the average end user.

So when we did research on people that visit our website, we found that a lot of them have high school degrees, right? High school diplomas, and then they have some college degrees. And again, people are people. They’re gonna do their own thing. College doesn’t work for everybody, but I needed to tailor my message so it’s digestible for anybody that comes to the website.

So that’s what we did, and we put high school level at the end of some of our landing pages and some of that stuff, and it just spits out this content. And, you know, IT can be overwhelming by any general case anyway, it’s like, I don’t understand all the acronyms. I don’t know what this dohickey does with that widget, and I don’t know how to make these two computers talk.

So when you put that content into a digestible format, then I think you have a better call rate, better success rate with how you’re using it.

[00:19:25] Wade Carpenter: Okay. That’s great. Well, one other use case I was gonna throw out there that is not necessarily ChatGPT related, although it could be, is I’ve been using something called and there’s other ones like and there’s a couple other ones that basically will go through and like when you have an online meeting or even an in-person meeting, there’s phone apps.

It’ll sit there and transcribe your meeting and at the end of the meeting it’ll actually send me a summary of the meeting and I have a transcript of the entire meeting. We started doing our staff meetings that way and I started thinking about these contractors where they have all these project meetings and maybe they told some subcontractors this or that and, they wanted this contractor to do something on a certain day.

I think about pulling out those to-dos and making sure that, hey, we told you to do this.

[00:20:19] Morrelle McCreary: Right, right.

[00:20:20] Wade Carpenter: I think about, we talk about, Stephen, we had a couple of people we talked about, like documenting our projects and what a great way to document your project. Having these transcribed meetings for your project management meetings and.

[00:20:35] Stephen Brown: So how would you use AI to do that, Wade? What do you tell AI to do in order to record a transcript? I’m–

[00:20:42] Wade Carpenter: well, so, again, if you’re doing like a Zoom meeting, a lot of contractors still like doing them in person, but there’s an app on my phone where I can just hit start and it’ll start recording and then it’ll go through it and then you may wanna identify the speakers at the end, but it does a pretty good job of transcribing it.

And then you can go back and look at, did it say this correctly? But the end of it, it automatically sends me a summary of this. And there have been people with this you can take the transcript or there’s There’s some scrapers that will actually take the transcript of a YouTube video and pop it in ChatGPT and summarize this for me.

I don’t wanna watch this, hour long video. Summarize it for me. And it does a great job of it. I’ve seen it. I’ve, there’s a tool that I’ve started using called Bardeen that actually has scrapers that goes through, you know, they built these to go through YouTube and you pick a pick it, click, and it sends it automatically to GPT.


[00:21:41] Morrelle McCreary: Wow.

[00:21:42] Wade Carpenter: Anyway, I’m geeking out on it.

[00:21:44] Stephen Brown: I love it. Morrelle, you were talking first off the bat about project planning, and everything. How could you use maybe AI to optimize your workflow on your project to make it be its most efficient?

[00:21:58] Morrelle McCreary: So that’s a good question. I looked at ChatGPT for best practices, right? We use that term a lot in IT. So when I think about it from a construction perspective, you want to know that the contractor you hire to build your facility, your home, your whatever, that they have some type of best practice process in place. Some type of SOPs in place to get you to the end result.

And I think AI could be a great tool to use for that. We use it a lot in-house to write out a lot of our SOPs that, you know, for, for IT, things change every day. But there are certain things like QuickBooks and Outlook and the applications that don’t change very often where they put their functionality to have this do that.

Or like we always got the question, how, how can I print duplex? Right? You’d being surprised how often that question comes up. So we just put that in ChatGPT, spit it out on a high school level, put it on our website as an FAQ, right? So I think when you start looking at ways you can systemize pieces of your industry or your business, then that will give you a better return.

As well as I always refer back to the Chick-Fil-A Method. I’m a huge Chick-fil-A junkie, and every time I go to Chick-fil-A, no matter where I am, it always tastes the same, and it’s always never failed, right?

[00:23:27] Stephen Brown: Mm-hmm.

[00:23:27] Morrelle McCreary: So if Chick-fil-A can rinse and repeat the same recipe thousands of times, why can’t any industry do that?

[00:23:36] Stephen Brown: I love it. That’s a great analogy, morrelle..

[00:23:40] Wade Carpenter: Yeah, it’s tough in construction cause a lot of times, unless they’re working on the same time for projects for the same owner, a lot of times it is hard to rinse and repeat.

[00:23:49] Morrelle McCreary: Right.

[00:23:51] Stephen Brown: Yeah. But you know, there’s some elements to that recipe that you could break down as a contractor to plug into this. What has to be done to get the job done, first of all?

[00:24:01] Morrelle McCreary: Right.

[00:24:01] Stephen Brown: Folks have gotta show up on the job. You gotta have your materials, you gotta have your equipment, you gotta have your cash to pay the labor. You can go on and on and on, but you can break that down into a system, right?

[00:24:15] Morrelle McCreary: Good. Yeah. And if it’s documented and, and well laid out, that, that feeds into the project planning piece too.

[00:24:23] Stephen Brown: Yeah, and it works for you. Like you said, you personalized it.

[00:24:27] Morrelle McCreary: Right. Yeah. That becomes your new SOP.

[00:24:30] Stephen Brown: Okay.

Using AI to write Excel formulas

[00:24:31] Wade Carpenter: Well, I know we’re getting a little long. I was gonna throw one more out there and I know ChatGPT and some of these other engines can actually write code for you. And I know probably our listeners are not coders, but I do think a lot of them, many times we use things like Excel.

[00:24:46] Morrelle McCreary: Mm-hmm.

[00:24:47] Wade Carpenter: And you can actually go in there in ChatGPT and say, write me an Excel formula, or write me an Excel macro.

[00:24:56] Morrelle McCreary: Mm-hmm.

[00:24:56] Wade Carpenter: That will do this or that and it’s amazing. So, I think a lot of that stuff with analyzing Excel and writing writeups and stuff like that, I think are coming.

[00:25:08] Morrelle McCreary: Oh it is. We use that too, Wade. I am no wiz at Excel. I know how to fix Excel if it’s broken. But I can’t use Excel to save my life. So there, if you were to look in my ChatGPT history, you’d see me asking a lot of Excel based questions on how to get pivot tables and how to get this to do that and calculate from this tab to that tab yeah, it’s fun because you get to test with the technology without fear of breaking something. You can always just close excel and don’t save and start over.

So definitely recommend people that you know are, are struggling with how to use something or better understand it. Just, it is, I almost tell people treat it like the, the next Google, but Google on a more explained basis. You don’t have to guess which website is giving you the most accurate information. So.

[00:26:02] Stephen Brown: Y’all given me some awesome ideas to just help me to start playing with it.

[00:26:07] Morrelle McCreary: Yeah.

[00:26:07] Stephen Brown: I’ll give you an example. I, I was just playing with it and I was like, okay, what’s the best way to pick a winning racehorse? And this was for the Kentucky Derby, and I’ve been handicapping horses all my life.

So, and there’s certain things I learned from my dad and grandfather about handicapping horses. And sure enough, bam, bam, bam, it hit all the key elements. So then I picked one of the key elements and I made it delve further. Then of all those elements, it just kept going and going and going. Just like my mind does when I’m thinking about all these things.

And then, of course I might get up the window and, and just, go and throw out a, some other horse that I don’t know where that came from. But it was so much fun to see what it could do and how fast it could do it.

And now to think about all the opportunities, Wade, when you were mentioned, formulating spreadsheets, my head started hurting cause I was, that’s so good. That’s so wonderful. And, and how do I do that guys? I think we should have another episode on this.

[00:27:08] Morrelle McCreary: I would agree. You just gave me an idea, Stephen. Fantasy football seasons coming up at the end of this week.

[00:27:13] Stephen Brown: There. Oh my gosh. If your friends aren’t using AI, you’ll be stealing their money. And that’s what it’s all about, isn’t it? Beating your friends, beating them like a dog.

[00:27:25] Morrelle McCreary: I’m just saying I, it’s gonna be it’s gonna be in there. It will definitely influence my picks.

[00:27:31] Stephen Brown: Okay.

[00:27:31] Wade Carpenter: Okay.

[00:27:33] Stephen Brown: Well, the more we talk with, the more the ideas we have and hopefully it’ll help some of our listeners. Huh?

[00:27:39] Wade Carpenter: yep.
